Automated work allocation

Manual work scheduling, leave management and workforce allocation can be time-consuming and resource-intensive.
The xFLOWer platform supports all of these activities, while also helping assign and weight tasks based on skills to ensure balanced workloads and efficient operations.

01

Skills-based task assignment

The workflow system can automatically assign tasks to employees based on their individual competencies, or skills. Once job roles have been defined, tasks can be assigned without human intervention.
02

Job profiles and task weighting

Our platform lets you group individual skills, or employee competencies, to create employee profiles. Weights can be assigned to each activity to reflect its priority, complexity, time requirements and other characteristics.
03

Absence, cover and leave management

xFLOWer lets you build detailed project plans from individual resource components.

Workload distribution

Activities can be assigned priority values, allowing them to be ranked by importance, complexity and the time needed to complete them.
When assigning tasks automatically, our platform can take these priority values—or even their average—into account, allocating tasks based on importance rather than just chronological order.
The system can also measure employees’ current workloads and use this data to optimize task allocation.
This means it considers more than just the number of tasks: if one employee has only two tasks that are demanding and time-consuming, while another has ten easier tasks, the system assigns the new task to the employee with the lighter overall workload.

Absence and cover management

xFLOWer provides a range of tools to simplify cover arrangements and even automate them entirely. An absence must be recorded in the system, whether initiated by an employee requesting leave or by the employer, as in the case of sick leave.
In both cases, the system shows the absent employee’s manager which colleagues are available at the relevant time and have the right skills. The designated replacements automatically receive the absent colleague’s tasks.
In some situations, this process is fully automated: the system selects the replacement and assigns the necessary tasks.

Leave requests and approvals

Every organization needs the right people available at the right time and in the right place. Otherwise, project deadlines may slip, contractual penalties may arise, and operations across the entire company may slow down.
A key part of preventing these problems is managing leave schedules and the HR processes for leave requests effectively.
xFLOWer helps ensure that leave is managed through a structured process with the appropriate approvals, rather than through informal conversations, emails or chat messages.

Attendance planning and work schedules

xFLOWer also supports resource planning, including employee attendance and work schedules. Working hours, schedules and overtime allowances can be configured individually for each employee, along with total working-hour allocations for a defined period.
When planning non-standard working hours, the system takes availability, planned leave, weekends and public holidays into account when scheduling attendance, working hours and cover.
