Tackling Labor Shortages Through Automation

Just a few years ago, probably no one would have imagined that labor shortages would become one of the biggest challenges facing businesses in Hungary. Yet no one anticipated the current situation at the time. While there were signs of potential difficulties in certain sectors, widespread labor shortages still seemed a long way off.

Today, however, a shortage of skilled workers affects almost every sector. As a result, well-qualified, experienced professionals can readily demand—and receive—higher salaries than ever before. In the current economic environment, employers cannot always afford these higher wages, through no fault of their own. There are few ways to untangle this Gordian knot, but automating certain areas of work may offer a solution.

Automation in Business Administration

When automation is mentioned, most of us picture large, robotic production lines where robots automatically perform tasks previously carried out by people: welding, fastening screws, cutting, painting, and so on. Office automation—the automation of administrative work and tasks within departments that support day-to-day operations—is still a less familiar concept. Yet this area also involves numerous repetitive tasks that could be performed without human intervention: entering and copying data, filling out forms, managing approvals, registering incoming documents, and more.

Why not use a software solution that also supports office automation? A sufficiently robust workflow system allows us to automate a range of office activities that currently drain resources: tasks that create no added value but must nevertheless be completed with the lowest possible error rate.

Of course, there are many other situations where the right system can automatically perform tasks that currently require people to carry out, track, and monitor them.

Requesting and managing feedback and approvals can become burdensome and time-consuming for employees if they do not have a suitable system to support these tasks.

Managing approvals this way not only increases the risk of errors but also adds to the number of emails managers must answer, potentially overwhelming management and hindering efficient work. Moreover, approval requests and responses can become mixed up in email threads, making it difficult to establish later who approved or rejected what, when, and why.

A workflow system provides a structured framework for approval tasks, ensuring that every approval consistently follows the same steps, with defined deadlines. It also allows some approvals and decisions to be automated, for example based on a value threshold or another clearly defined criterion.

Daily Routines and Productivity

When employees spend their time copying data, exchanging unnecessary emails, and entering information, they cannot devote that time to strategically important, value-adding work. For sales teams, for example, administration can take up a considerable amount of time. Although recording data and documenting work are essential, every minute salespeople spend on these tasks is a minute not spent selling.

How can we free up time for sales while maintaining the quality of administrative work?

A well-designed workflow system enables us to automate much of the administrative workload, allowing salespeople to do what they do best: sell our products and services instead of sitting at a computer completing administrative tasks. This increases both sales volume and sales efficiency. Automated processes benefit not just individual departments but the entire organization. Every business area has tasks that can be automated or handled faster and more effectively in a purpose-built system. Applications such as xFLOWer provide valuable support for managing workflows across every area and level of a company, in any industry.

Introduction to Automated Processes 3 – Managing Outgoing Documents

Improper handling of incoming documents can cause problems in an organization's operations, and the same applies to outgoing documents. Every document we issue must be consistent in both content and appearance, and may only be sent after approval. These requirements cannot be reliably met without well-designed automation and templates.

Introduction to Automated Processes 10 – Managing Approvals

In addition to posing significant security risks, poorly managed approvals can lead to unnecessary waste of company resources. When managing approvals, we must ensure that every action requiring approval is subject to it and that only authorized individuals can grant it. Beyond security, it is also important to keep the approval process short, as delays can hinder the organization's effective operation.

The Benefits of Workflow Implementation, Part 1 – A More Satisfied Team

Employees are a company's most valuable asset and, at the same time, its largest cost. Decades of research have repeatedly shown that the most successful companies in competitive markets are those that invest significantly in their people. This does not necessarily—or exclusively—mean high salaries. Rather, it means meeting employees' other needs to a high standard and providing opportunities. These may include training, career advancement, other incentives or rewards, and even flexible working hours or the option to work from home.
