Automated labor allocation

Manually scheduling working hours, managing vacations, and distributing labor can be labor-intensive tasks demanding a significant allocation of human resources. The xFLOWer platform not only assists in these aspects, but also aids in task allocation and prioritization based on competency, ensuring seamless and optimal operations.

Task allocation based on competency

The workflow system can autonomously allocate tasks to employees according to their specific competencies or skills. This means that once the tasks are defined, there is no need for manual intervention in the task assignment process.

Job roles and evaluation

Within our platform, individual skills, also known as employee competencies, can be grouped together to form employee profiles. Additionally, numerical values can be assigned to specific tasks, allowing for the prioritization of importance, complexity, time needed for completion, and other attributes associated with individual activities.

Allocation of workloads

Activities can receive priority ratings, which determine their ranking in terms of significance, complexity, and time needed for completion.

Our platform considers these priorities, or their averages, when automatically assigning tasks. This allows for task prioritization beyond chronological order.

Furthermore, the system is equipped to gauge the current workload of employees. This allows for the optimization of task distribution based on this information.

Task assignment is not solely based on quantity. For example, if one employee has two time-consuming tasks and another has ten easier ones, the system assigns the new task to the employee with a lighter workload.

Leave and replacement

xFLOWer offers a range of tools to streamline and potentially automate the process of organizing replacements. When an individual is absent, this absence must be logged in the system, either by the employee when requesting leave or by the employer in the case of sick leave.

In both scenarios, the system presents the supervisor of the absent employee with a list of available and qualified colleagues at that particular time. The designated substitutes automatically take on the tasks of the absent colleague.

In certain instances, this process is entirely automated: the system itself determines the deputy and allocates them the required tasks.

Leave application and approval

Ensuring the correct staffing levels are met at the precise time and location is paramount for any organization. Without this, project schedules could be jeopardized, penalties may be incurred, and even the overall operations of the company could be hampered.

A critical aspect contributing to these challenges is the efficient handling of vacation requests within HR processes.

xFLOWer aids in guaranteeing that vacations are scheduled in an organized and approved manner, avoiding reliance on informal communication channels like emails and chats.

Attendance planning, work schedules

xFLOWer additionally offers the capability to schedule resources, encompassing both the availability and work hours of personnel. Each employee can have their specific work hours, schedules, overtime, and even special assignments allocated to them individually.

When it comes to planning non-standard work hours, the system considers factors such as availability, scheduled vacations, weekends, and holidays in the process of arranging attendance, work hours, and substitutions.
